As at 11 October 2026. This policy explains the processing of personal data when visiting avgs-halle.de and contacting Coaching by Claudia.
1. Controller
Claudia Franke, Coaching by Claudia, Herderstraße 11, 06114 Halle (Saale), phone: 0179 6882397, email: team@avgs-halle.de. You may also contact this address about data protection matters.
2. Accessing the website and hosting
Whenever you access a page, technically necessary connection data is processed, especially your IP address, access time, requested page, amount of data transferred, browser and operating system information, referrer and HTTP status. This is necessary to deliver the page, ensure stability and detect attacks or errors. The legal basis is Article 6(1)(f) GDPR; our legitimate interest is secure website operation. STRATO GmbH, Otto-Ostrowski-Straße 7, 10249 Berlin, hosts and technically provides the website as our processor. Logs are retained only as long as needed for operation, security and error analysis. Following a security incident, some data may be needed longer for investigation or legal enforcement.
3. Contact form, email and phone
If you contact us through the form, by email or by phone, we process the details you provide (name, email address, optional phone number and message in the form; contact details and content provided through other channels) to answer and continue communicating with you. Required form fields are needed for a reply; the phone number is optional. The form is processed on our web server and sent to us by email. The legal basis is Article 6(1)(b) GDPR for pre-contractual or contractual requests, otherwise Article 6(1)(f) GDPR based on our interest in handling your enquiry. Where separate consent is requested, Article 6(1)(a) GDPR applies. We delete enquiries once resolved unless retention or legal enforcement remains necessary. Business and tax-relevant correspondence may be kept longer under statutory duties.
3a. Our CRM and acknowledgement
The contact form sends your name, email address, optional phone number and message to our web server. The validated enquiry is emailed to team@avgs-halle.de and also passed to our protected Beratung-Halle CRM for handling. Once the mail server accepts the enquiry, an acknowledgement with the booking link is sent to your email address. This acknowledgement does not book an appointment or subscribe you to a newsletter. Processing to reply relies on Article 6(1)(b) GDPR for pre-contractual or contractual enquiries, otherwise Article 6(1)(f). The deletion and retention information in section 3 also applies to CRM records. Access is restricted to authorised users. You may alternatively contact us by email or phone.
4. Consulting and contract performance
When commissioned, we process names, contact details, information about the requested service, contract and billing data, and content shared for consulting. This serves contract preparation, performance and billing (Article 6(1)(b) GDPR) and compliance with statutory retention duties (Article 6(1)(c) GDPR). Recipients may include necessary IT, email and accounting providers, and authorities where legally required. Data is deleted when its purposes cease unless statutory retention duties or legitimate claims prevent this. Depending on the document, retention periods of six, eight or ten years may apply under section 147(3) of the German Fiscal Code (AO), along with commercial law periods under section 257 of the German Commercial Code (HGB) and periods for asserting or defending claims.
5. Cookies and consent management
Your statistics choice is stored as cc-analytics-choice-v3 and its timestamp as cc-analytics-choice-time in your browser’s local storage, for no more than 180 days. This storage is used only to apply your choice (section 25(2)(2) TDDDG; Article 6(1)(f) GDPR). Google Analytics is not loaded without valid consent. Statistics cookies and subsequent processing rely on consent (section 25(1) TDDDG; Article 6(1)(a) GDPR). You can change or withdraw consent for the future at any time through “Privacy settings” in the footer. On withdrawal, accessible Analytics cookies are deleted. We ask again if you clear browser storage or your choice expires. Google Ads is currently disabled.
6. Google Analytics 4; Google Ads disabled
Only with your consent, we use Google Analytics 4 (measurement ID G-C78TE5Q1BN) to analyse page visits, interactions and successful contact enquiries. Data includes browser and device information, pages viewed and identifiers; your IP address is transmitted when connecting. The provider is Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland. The external Google script is loaded only after you select “Allow statistics”. Google Signals and ad personalisation signals are disabled in our website tag. Google Ads and its conversion tracking are currently disabled. Consent is optional and can be withdrawn through Privacy settings. Storage details are available in the cookie policy and Google’s privacy policy.
7. External appointment booking and video calls
The “Book appointment” link leads to an external Google Calendar booking page. Only when you open the link do you leave our website and Google process the data needed for access and booking under its own privacy information. If you book, we receive the appointment and contact details you provide to organise and carry out the consultation (Article 6(1)(b) GDPR for pre-contractual or contractual appointments, otherwise Article 6(1)(f)). A link for a possible Zoom video appointment is sent separately by email after booking. The video provider processes connection and communication data when used. We provide further details in the invitation to a specific video appointment.
7a. Beratung-Halle CRM and Google Calendar API
The CRM organises contacts, consultations, tasks and appointments internally. Authorised users may voluntarily connect their Google account for the calendar overview. The app requests only https://www.googleapis.com/auth/calendar.events.readonly. This permission technically permits reading events in calendars accessible to the account. The current app queries the configured calendar for the next 90 days and displays events whose titles contain the configured consultation keyword. This display filter does not limit the permission granted by Google.
The app requests event title, status, start and end with date and time zone. It does not request descriptions, attendee addresses, attachments or locations. It does not create, edit or delete Google events, send invitations or automatically match events with contacts. Booking remains on the external Google booking page.
Calendar events are processed live for the overview and are not stored as a calendar dataset in the CRM database. Access and refresh tokens are stored encrypted on our STRATO server while the connection exists. Only authorised CRM users can access the overview. Providers are Google and STRATO; sections 6 and 9 also apply to international transfers. The legal basis is Article 6(1)(b) GDPR for pre-contractual or contractual appointment organisation, otherwise Article 6(1)(f); any separate consent relies on Article 6(1)(a). Google account authorisation does not replace other data subjects’ consent.
Disconnecting Google in the CRM removes tokens from its active configuration and stops further calendar requests. You can additionally revoke the app permission in your Google account connections. Backup copies are replaced through the regular backup cycle. Contact team@avgs-halle.de with privacy questions. Use and transfer of data received through Google APIs complies with the Google API Services User Data Policy, including Limited Use. Google calendar data is not sold, used for advertising or used to train AI models.
8. External links and social networks
Our website links to WhatsApp and profiles on Instagram and LinkedIn. Simply visiting this website does not connect you to these services through an ordinary external link. If you follow a link or contact us through one of these services, the relevant provider processes data under its own rules, possibly in other countries. We process messages addressed to us there to answer your enquiry (Article 6(1)(b) or (f) GDPR). For confidential matters you can instead use the email address above.
9. Transfers outside the EEA
When using Google services, Zoom, WhatsApp or social networks, personal data may also be processed outside the EU or European Economic Area. For transfers to the United States, the European Commission’s adequacy decision on the EU-US Data Privacy Framework may apply to appropriately certified recipients; otherwise suitable safeguards under Article 46 GDPR, especially standard contractual clauses, are required. Certification and the actual transfer route must be checked for each service. You may request more information using the contact details above.
For transfers to Google LLC in the United States, Google relies on its EU-US Data Privacy Framework certification. See Google’s transfer framework information for details and its certification.
10. Your rights
Subject to the GDPR, you have rights of access (Article 15), rectification (Article 16), erasure (Article 17), restriction (Article 18) and data portability (Article 20). You may withdraw consent at any time for the future (Article 7(3)). You may object to processing based on legitimate interests for reasons relating to your particular situation (Article 21); you may always object to direct marketing. To exercise your rights, email team@avgs-halle.de. This website does not make solely automated decisions with legal or similarly significant effects.
11. Right to complain
You may lodge a complaint with a data protection supervisory authority under Article 77 GDPR. Our relevant authority is the State Commissioner for Data Protection of Saxony-Anhalt, Otto-von-Guericke-Straße 34a, 39104 Magdeburg. You may also contact an authority where you live or work.
12. Changes
We update this policy if services or legal requirements change. The version published on this page at the relevant time applies.
